City Clerk

About Our Department

The City Clerk is responsible for keeping and maintaining all of the permanent records of the City, including minutes of the City Board of Commissioners meetings, records of administrative hearings conducted by various City boards, ordinances, resolutions, contracts, and oaths of office for city officials. The City Clerk serves as the City's official records keeper and is an overall wealth of information for both the public and municipal staff.

Open Records Request

In order to make a request to inspect or receive copies of public documents, a written and signed request must be sent to the City Clerk by mail, fax, or hand delivery. All requests will receive an initial response within three business days. Please be as specific as possible when making your request. There is a fee of 10 cents per page or $0.20 for CDs if copies of records are requested.

If the information requested is for a commercial purpose you must also complete the Certification of Commercial Purpose.  

Request for Police Department or Fire Department records should be submitted directly to their respective department.

Bid Response Management

The City Clerk receives, time-stamps and opens all responses to City-issued Requests for Bids and prepares the documents for review. Learn more about bids and procurement.

Archival Services

The City Clerk is a great resource for conducting any research on historical municipal documents. Some examples of historic archives in possession of the City include meeting minutes, agendas, order resolutions, ordinances, annual reports and more. The City Clerk works closely with the Kenton County Library to store these archives. For specific requests, please contact the City Clerk’s Office directly.

Board of Commissioners

The City Clerk prepares and distributes the agenda and supporting documents for each Board of Commissioners meeting to the Commissioners, City staff, and the public. The City Clerk also facilitates each Board of Commissioners meeting by introducing and conducting the vote for each piece of legislation. Minutes of the meetings are recorded and maintained by the City Clerk.
